   JOB DESCRIPTION: Purchasing Agent / Reports Clerk

   JOB SUMMARY*

Under the direction of the Superintendent the purchasing agent/reports clerk is responsible to ensure that each student in the district derives maximum benefit from the expenditure of the per-pupil allocation set by the Board for the acquisition of supplies; and for completing and filing in a timely fashion all reports necessary and particular to this job.

   ESSENTIALFUNCTIONS*:

  1. Initiates contacts with vendors relative to supply and equipment availability, invoices and purchase orders.
  2. Obtains and studies comparative prices and quotations.
  3. Purchases by competitive bidding, informal quotations, and negotiation, items of supply and equipment necessary for the operation of the school district.
  4. Studies price trends and market conditions and keeps informed of sources of supply and new product developments.
  5. Investigates quantity and quality of commodities purchased.
  6. Orders, receives, disperses supplies and equipment in a timely and accurate manner.
  7. Monitors all purchase requisitions to determine correctness of information, price extensions, coding information, and so on, including solving problems if they should occur.
  8. Develops and maintains appropriate records, such as vendors' register, commodity register, bidders' list.
  9. Assumes responsibility for accounts payable and correspondence relating to school district purchasing activities.
  10. Assumes responsibility for the operation of perpetual inventory systems and central warehousing operations.
  11. Accurately completes all required reports, including S-3 Free and Reduced Meal reimbursements, CNP commodity inventories, USDA inventories, and reconciles and deposits cafeteria funds.
  12. Makes all applications for federal subsidies.

   MARGINAL FUNCTIONS:

Performs other job duties as required.

   Required Knowledge, Skills & Abilities Necessary to Performance of Essential Functions:

  1. Experience with accounting processes.
  2. Computer skills.
  3. 3. Familiarity with bid processes.
  4. 4. Must be a graduate of an accredited institution at an acceptable academic level to be determined by the Grand County School District.
  5. Demonstrate an aptitude or competence for assigned responsibilities including supervisory abilities.
  6. Successful work background.

   Desirable Knowledge & Abilities:

  1. Previous experience in a public school setting.
  2. Hold and maintain a Utah driver's license.
  3. Ability to work independently.
  4. Ability to learn and interpret rules, regulations, laws and instructions, as needed.
  5. Knowledge of and ability to use English correctly and appropriately.
