JOB DESCRIPTION: Purchasing Agent / Reports Clerk

JOB SUMMARY*
-
Under the direction of the Superintendent the purchasing agent/reports clerk is responsible to ensure that each student in the district derives maximum benefit from the expenditure of the per-pupil allocation set by the Board for the acquisition of supplies; and for completing and filing in a timely fashion all reports necessary and particular to this job.

ESSENTIALFUNCTIONS*:
- Initiates contacts with vendors relative to supply and equipment availability, invoices and purchase orders.
- Obtains and studies comparative prices and quotations.
- Purchases by competitive bidding, informal quotations, and negotiation, items of supply and equipment necessary for the operation of the school district.
- Studies price trends and market conditions and keeps informed of sources of supply and new product developments.
- Investigates quantity and quality of commodities purchased.
- Orders, receives, disperses supplies and equipment in a timely and accurate manner.
- Monitors all purchase requisitions to determine correctness of information, price extensions, coding information, and so on, including solving problems if they should occur.
- Develops and maintains appropriate records, such as vendors' register, commodity register, bidders' list.
- Assumes responsibility for accounts payable and correspondence relating to school district purchasing activities.
- Assumes responsibility for the operation of perpetual inventory systems and central warehousing operations.
- Accurately completes all required reports, including S-3 Free and Reduced Meal reimbursements, CNP commodity inventories, USDA inventories, and reconciles and deposits cafeteria funds.
- Makes all applications for federal subsidies.

Required Knowledge, Skills & Abilities Necessary to Performance
of Essential Functions:
- Experience with accounting processes.
- Computer skills.
- 3. Familiarity with bid processes.
- 4. Must be a graduate of an accredited institution at an acceptable academic level to be determined by the Grand County School District.
- Demonstrate an aptitude or competence for assigned responsibilities including supervisory abilities.
- Successful work background.

Desirable Knowledge & Abilities:
- Previous experience in a public school setting.
- Hold and maintain a Utah driver's license.
- Ability to work independently.
- Ability to learn and interpret rules, regulations, laws and instructions, as needed.
- Knowledge of and ability to use English correctly and appropriately.
