FolioViews

Information

FolioVIEWS is a software program which will help you find information. If you have a large document (such as the Constitution of the United States, an encyclopedia or dictionary, or the school district's Policy Manual), it can be prepared with FolioVIEWS so you can easily search it. To prepare the document, submit it on a computer disk to the district computer/ network technician for indexing. If your document is not in a computer file but is in printed format, it can be scanned into a computer file and then indexed with FolioVIEWS -- contact the district computer/network technician for details.

After your document has been indexed with FolioVIEWS, you can search it for any information you want. In today's age of information, it is an important skill to be able to search for and use information.

In the documentation manual for FolioVIEWS, you will find the following four statements:

Information does not equal knowledge.

Use of information can lead to knowledge.

If you can't find the information you need, gaining knowledge can be difficult.

If you can't use the information once you find it, gaining knowledge can be impossible.

Using FolioVIEWS

Once you have a document indexed, you can use the FolioVIEWS program to find any information in the document:

1. Be sure the FolioVIEWS program is on your menu. Refer to pages 25-26 in this notebook for help in adding FolioVIEWS to your menu.

2. To run (execute) FolioVIEWS, highlight it on your menu and press the Enter-key (or double click on it with your mouse).

3. Once FolioVIEWS is running, you must open your document. Press Ctrl + O to open a file. You will see a screen listing all available files:

4. Type the name of the document you want and press the Enter-key (or double click on the document name with your mouse).

5. The entire document is now loaded into your computer's memory. You can read it from top to bottom (thus defeating the purpose of FolioVIEWS information indexing) or you can search for selected information. To move through the document you can use the PageUp, PageDn, Home, End, and Arrow keys on your keyboard.

6. To search for a particular reference in the document, press the spacebar or the F2 key on your keyboard. Type the word or words you want to search for.

Here is a sample search in the Constitution of the United States. I wanted to know how many years the President of the United States can serve, so I typed the words president and years:

In the upper, right-hand box of the screen, it tells me that the word president appears in the Constitution 29 times and the word years appears 10 times. Together the two words appear only once in the Constitution. Each time FolioVIEWS finds the word or words you asked for, it is called a hit. Thus we had 29 hits on the word president, 10 hits on the word years, and 1 hit on both words together.

7. Press the Enter-key to move in the document to your first hit. Press F3 to see the next hit or press F4 to see the previous hit. When I pressed the Enter-key in our example above, I moved in the document to Article 2 Section 1 of the Constitution where it tells me "the President holds his Office during the Term of four Years". You can move directly to a particular hit by pressing Ctrl + G then typing the number of the hit. You can close a search by pressing Ctrl + F4.

8. You can press the spacebar or the F2 key again to do another search. You may press the F6 key to mark (tag) a portion of the text. You can print any tagged text.

9. When you are through searching the document, close it by pressing Ctrl + F4. When you are through using FolioVIEWS, exit the program by pressing Alt + F4.

Advanced Searches

If you have done computer searches before, you are probably familiar with the other features of FolioVIEWS which allow you to do advanced searches. Wild cards (? and *) are allowed in searches. Boolean searches are also allowed:

& = and

| = or

^ = not

~ = xor

Hands-on Practice

To give you some practice using FolioVIEWS, load (open) the 4000 series of the Grand County School District Policy Manual and try to answer these questions:

1. Can the school district be required to pay for an employee's abortion?

2. Can you (as an employee over age 19) be fired (dismissed) for carrying a pack of cigarettes in your pocket or purse while on school property?

3. What is the difference between leave and sabbatical?

4. What is the difference between transfer and assignment?

5. What two things MUST you bring to the District Office after serving on jury duty?

6. Can a principal call early morning or evening faculty meetings?

7. Who grades the papers completed and turned in by students when a substitute is present? (the teacher or substitute?)

8. Who administers a summer school program?

9. When must contract negotiations begin?

10. Is there a dress code for teachers? If so, what is it?

11. Who is the district's Title IX Coordinator?

12. Who is the district's Section 504 Coordinator?
